What people information is synced between Resource Planning and the Procore Company Directory?

Background

For projects using Resource Planning and Resource Tracking tools, you can manage your people using the Resource Planning tool. When data syncs are enabled, the people in Resource Planning can be assigned to resource assignments, and appear in the Crews, and the Timesheets tools.

People sync one-way from the Resource Planning tool to Procore’s Company Directory. When data is updated in the Resource Planning People List, it is synced and updated in the Company Directory tool. The majority of syncs take less than one minute.

The Procore Directory and Resource Planning People List Integration can be enabled by an administrator in Procore Explore.

Answer

You have three options when creating people in Resource Planning: 'User', 'Assignable', or 'Assignable User'. How you create a user in Resource Planning decides certain functionality for the user, and where their user information is synced in the Company Directory.

  • Can log in to Procore and Resource Planning

  • Can be tracked using Procore Timesheets

  • Is added to the Directory as a 'User'

  • Can track own time using My Time tool

User

  • Can NOT be assigned to resource assignments

  • Can log in to Procore and Resource Planning

  • Can be tracked using Procore Timesheets

  • Is added to the Directory as a 'User'

Assignable

  • Can be assigned to resource assignments

  • Can NOT log in to Procore and Resource Planning

  • Can be tracked using Procore Timesheets

  • Is added to the Directory as a 'Contact'
    Note: If there is a matching user record in your Directory, they will be linked to the 'User' instead.

The Procore Directory and Resource Planning People List Integration can be enabled by an administrator in Procore Explore.

This integration allows you to view and manage Resource Planning people in two places: the 'Resource Planning' tab in the Company Directory and the Resource Planning People List.

  • When people sync is enabled, fields below are synced to the 'Personal Information' section of the Company Directory.

  • When people sync is disabled, the below fields must be managed independently in each tool. However, any fields in the Company Directory's 'Resource Planning' tab are automatically synced between the Company Directory and Resource Planning tools.

For the best experience, data syncing should be enabled with this feature. If it is disabled, please contact your Procore Customer Success Engineer or Point of Contact to have it turned on.

After you decide how to create your user, the following information is synced from the People List to the 'Personal Information' section of the Procore Company Directory. For beta users, information changed in either tool will be synced to the other.

    • By default, users created in Resource Planning and synced to the Procore Directory are granted ‘Standard’ level permissions to the Resource Planning tool, and the lowest possible permissions level to all other Procore tools. You can grant permissions by updating your Company Permissions Templates or by updating the user’s permissions in their profile. See Edit a Company Permissions Template or Edit a User Account in the Company Directory.

    • To avoid duplicate records, ensure that all people have matching records of the following in both Resource Planning and the Company Directory:* Employee ID* Email Address* User Types

    • Fields in Resource Planning with no direct mapping to the Company Directory do not sync to the Company Directory but are available in Resource Planning.

    • If you edit users in the Company Directory, those changes are NOT visible in Resource Planning. Changes should be updated Resource Planning's People List, which then sync to the Company Directory.

    • Beta Customers using the Procore Directory and Resource Planning People List Integration can manage additional Resource Planning fields from the Company Directory. Changes automatically sync and appear in both tools.
