Create a Tracked Item for Materials

Objective

To create a tracked item for materials in the Materials tool.

Background

Tracked Items are instances of a part or a group of parts that are individually tracked. After a tracked item is created, it can have its own sensor or location.

Things to Consider

  • Required User Permissions

  • You can only add tracked items to a receipt that is not posted.

  • If creating a tracked item from the parts details page, the materials should be stored in inventory (rather than delivered on site, or ordered).

Steps

You can create a tracked item from the following places in the Materials tool:

  • Receipt

  • Part Details

Create a Tracked Item from a Receipt

  1. Navigate to the project's Materials tool.

  2. Click the Control tab.

  3. Click the Receipts sub tab.

  4. Click the receipt number.

  5. Under 'Document Line Items', locate the 'Tracking' field for the item. Then click Tracked Item.

    Procore recommends setting the status and locations for all items in a receipt before you create tracked items. See Create a Receipt.

  6. Review the 'Quantity of Parts'. This is the quantity of parts you want to track for the item.

    Example 1: You received 5 water heaters and want to make each a tracked item. Enter 1 so that a single water heater is a tracked item.

    Example 2: You received 100 steel rods of rebar that are packaged in a 50 piece bundle. The quantity on your receipt is 100 rebar and want to track each bundle separately. Enter 50 as that is the number of items in the bundle that you want to track.

  7. Review the quantity of 'Number of Tracked Items'. This is the number of tracked items you want to create.

    Example 1: Using the example above, if you received 5 water heaters in your order, and you want to create a tracked item for each, enter 5. This creates five, individually tracked water heaters.

    Example 2: Using the example above, if you want to track each bundle, enter 2. This creates two tracked items, containing 50 steel rods each.

  8. Click the add icon-plus.png icon.

  9. Under the 'Name' column for each tracked item, click the field and update the name to the serial number or unique ID for the tracked item.

  10. Click Receive Tracked Items.

Create a Tracked Item from Inventory

  1. Navigate to the project's Materials tool.

  2. Click the Control tab.

  3. Click the Inventory sub tab.

  4. Optional: Search Materials Inventory

  5. Click the name of the material.

  6. Under the 'Part Info' section, click Create Tracked Item.

  7. Enter the 'Quantity of Parts'. This is the quantity of parts you want to track for the item.

    Example 2: You have 100 steel rods of rebar in inventory that are packaged in 50 piece bundles. Enter 50.

  8. Review the quantity of 'Number of Tracked Items'. This is the number of tracked items you want to create.

    Example 1: Using the example above, if you want to track each water heater, enter 5. This will create 5 tracked items. If you only want to track two, enter 2. This will create two tracked items.

    Example 2: Using the example above, if you want to track each bundle, enter 2. This creates two tracked items, containing 50 steel rods each.

  9. Click the add icon-plus.png icon to create the tracked items.

    Note: If you no longer want to create a tracked item, click Remove All Tracked Items before clicking close.

  10. Under the 'Name' column for each tracked item, click the field and update the name to the serial number or unique ID for the tracked item.

  11. Click Move to Inventory.

  12. Select a Location and click Save.
